EZLink Transfer Module for QuickBooks® works in conjunction with our EZClaim® Advanced Medical Insurance Billing Software system. It allows EZClaim Patient and QuickBooks customer information to be transferred between the two programs and allows EZClaim 1500 Claims to be transferred to QuickBooks as invoices. Requirements

  • EZClaim Advanced Medical Billing Software with the EZLink module
  • QuickBooks 2003 (or higher) Pro, Premier or Enterprise (including the Healthcare Edition)
  • QuickBooks must be installed on the same machine as EZLink. The QB company file can reside anywhere on the computer or network.
  • Note: EZLink will not work with QuickBooks Online, Basic or previous versions of QuickBooks.

What is transferred

The following data is transferred from EZClaim to QuickBooks

  • Patients become Customers in QuickBooks
  • CMS-1500 forms become Invoices in QuickBooks
  • Procedure codes are used as Invoice line item codes in QuickBooks

The following data can be transferred from QuickBooks to EZClaim

  • QuickBooks Customers become Patients in EZClaim

Please note: You cannot transfer QuickBooks Invoices to EZClaim to print as 1500 forms.



How It Works


EZLink is a module that directs the flow of data from EZClaim to QuickBooks. Please note that there is no direct link between the two programs. This means if you change data in EZClaim or QuickBooks, it will NOT be changed in the other program.

Patient data from EZClaim can be copied to QuickBooks customers and QuickBooks customers can be copied to EZClaim. All patient data is transferred to a customer record in QuickBooks. There is no need to enter data into QuickBooks prior to the transfer.


1500 Claims are transferred to QuickBooks and converted to invoices. There are two ways to transfer claims (this option is set in the Options screen). The first is to transfer a single 1500 claim to a single QuickBooks Invoice.

The second method is to transfer each service line item on the 1500 claim to a separate invoice in QuickBooks.

Which method is for you? We can not answer that question but we can tell you why the options are available. Insurance companies sometimes only pay a portion of a line item charge. QuickBooks does not allow payments (partial or full) to be applied to individual line items, only the overall invoice. This prevents a user from entering co-pays and other payments for each line item. Using the second method, each invoice represents a individual line item, this allows you to enter partial payments, co-pays or write-offs for each line item. We recommend exporting a couple claims using both methods to see what actually happens and to help decide which method works best in your practice.
